Booking & Cancellation Policy

This page is maintained by New World Hall AB to explain how bookings, payments, cancellations, and rescheduling work for visits, private events, and tournaments at New World Hall Gothenburg.
1. What you can book
We offer several bookable experiences through our website and by direct arrangement:
- General visits: walk-in arcade, PC, and console access. No booking required, but reservations are recommended on weekends and tournament nights.
- VR bays: book individual or group VR sessions in 30- or 60-minute slots.
- Esports rigs: reserve high-performance PCs for 1-, 2-, or 4-hour sessions.
- Private events: book part or all of the venue for birthdays, corporate events, team-building, or tournaments.
- Tournaments: register for scheduled competitions through the event page or on arrival.
2. How to book
Bookings can be made online at newworldhall.com/book, by email, or by phone during opening hours. You will receive a confirmation email once your booking is confirmed and payment is accepted. A booking is not guaranteed until you receive confirmation.
3. Payment
We accept major credit and debit cards through our secure payment provider. For private events and large group bookings, we may require a deposit or full prepayment to confirm the date. All prices are shown in Swedish kronor (SEK) and include VAT unless stated otherwise.
4. Cancellation by you
You may cancel or reschedule your booking free of charge up to 24 hours before the scheduled start time. Cancellations made less than 24 hours before the start time, or no-shows, are charged the full booking amount.
For private events and tournaments, cancellation terms are shown in your event agreement. Typically, these require at least 7 days' notice for a full refund or rescheduling credit.
5. Rescheduling
Rescheduling is allowed once per booking, subject to availability. Rescheduling requests made at least 24 hours before the original start time are free. Requests within 24 hours are treated as cancellations and new bookings.
6. Refunds
Refunds are issued to the original payment method within 5–10 business days when a cancellation is made in accordance with this policy. Refunds are not issued for no-shows or cancellations made outside the cancellation window.
7. Late arrivals
Please arrive on time. Late arrivals may shorten your session, and we cannot extend booked time into the next slot. If you are more than 15 minutes late for a VR or esports session without notice, we may release the slot and treat it as a no-show.
8. Cancellation by us
We may cancel or reschedule a booking due to equipment failure, staff shortages, severe weather, or other circumstances beyond our control. If we cancel, you will receive a full refund or the option to reschedule at no extra charge.
9. Group and event bookings
Private event and group bookings are confirmed by written agreement. The agreement will specify headcount, catering, equipment, duration, total price, deposit, and cancellation terms. Changes to guest numbers or event details must be requested at least 48 hours in advance.
